Organizational Profile
This section includes general information including name, address, mission, technology staffing and budget.
Hardware Inventory
The process gathers a list of the speed and memory capacities of all computer hardware. This section also profiles other office machinery such as copiers, scanners, etc.
Local Area Network
Depending on the individual situation, this section addresses issues such as the type of LAN that is in place, specifications of the server, usage of the LAN, and document storage. If a network is not in use, an evaluation of the potential for a network is conducted.
Internet
An evaluation of the organization's overall Internet use. Questions are aimed at the usage of the Internet in the organization and the current connection speed. Web site-related questions include the role of the web site and frequency of updates.
Software
This segment is an inventory of all specialized and off-the-shelf software in use for word processing, accounting, fund development, spreadsheets, etc.
Protection and Security
This section addresses issues such as data backups and their frequency, virus protection, and power protection.
Policies
Questions determine if the organization has policies about a wide variety of hardware, software, personnel, ownership and data issues.
Training
A brief needs assessment is conducted. Also, questions address previous training effectiveness and identifying the staff who need training the most.
Data Collection and Reporting
Questions regarding the type and ways of data collection and reporting. What the difficulties are with the current process of collection and reporting.
To achieve the highest quality results for the time and investment in the assessment, the recipient completes the assessment tool prior to the team visit to the organization. Hence, potential issues and topics for discussion are established prior to the site visit.
